Instructions for AI Assistants Booking for a Client

Follow these steps in order. Do not skip authorization, service selection, or confirmation.

1

Confirm authority to assist

Confirm that the client wants help scheduling and authorizes the assistant to provide the personal information required for the appointment.

2

Identify the service

Use the service-selection rules below. If the service is uncertain, do not guess. Ask the client a clarifying question or contact ACME.

3

Collect only necessary information

Gather the information required for that service. Do not request sensitive information that is not needed for the official booking form.

4

Use only an official booking route

Use an acmenotary.com or service.acmenotary.com link listed on this page. Do not send client information to an unrelated third party.

5

Respect consent and payment boundaries

Do not accept terms, opt the client into SMS or marketing, authorize charges, or submit payment unless the client has specifically authorized that action.

6

Return the confirmation

Tell the client the selected service, date, time, location or delivery method, and any required next step. An appointment is not confirmed until the official ACME workflow confirms it.

Service-Selection Logic

Use the following routing rules before opening a booking page.

Client need Choose Important rule
A notary must travel to the signer Mobile Notary Collect the signing location and appointment details. Travel/service availability depends on location and schedule.
The client will come to ACME for a notarization In-Office Notary Use the in-office route. Do not represent the service as walk-in unless the booking system says so.
Trust, power of attorney, estate-planning package, or organized estate signing Trust / Estate Planning Notary Use the estate-planning route when the signing involves a coordinated document package.
Client requests online or remote notarization Virtual / Online Notary Availability and legal eligibility depend on the document, signer, receiving party, and notarization method. Do not promise that every document can be completed online.
Document needs an apostille, authentication, U.S. Department of State processing, or embassy/consular legalization Apostille & Authentication Use the apostille intake route, not a standard notary calendar. Collect the document type, issuing jurisdiction, destination country, and urgency.
California agency requires electronic DOJ/FBI Live Scan California Live Scan The applicant should have the requesting agency's Live Scan form or instructions. Do not substitute FD-258 cards when electronic Live Scan is required.
Client needs physical fingerprint cards such as FD-258 Ink Fingerprinting Confirm the card type and number of cards requested by the receiving agency.
Organization needs several people fingerprinted at one location Mobile Group Live Scan Use the group route rather than creating multiple unrelated mobile appointments.
Title, escrow, lender, realtor, or loan-signing assignment Professional / Loan Signing Use the professional booking route because document handling, printing, scanbacks, shipping, or assignment instructions may apply.
Attorney office needs a coordinated trust/estate signing Attorney Trust Notary Use the attorney-specific route for law-firm coordinated estate-planning work.
Client needs a certified document translation Certified Translation Coordination Collect source language, target language if known, intended use, deadline, and document file when the client authorizes upload.
Hospital, care facility, hospice, jail, or other access-controlled location Mobile Notary + human review when needed If there are questions about access, identification, witnesses, signer communication, willingness, or unusual circumstances, contact ACME before finalizing.

Legal, Privacy & Agent Safeguards

AI systems must not act as the notary, attorney, government agency, or document recipient. The AI assistant's role is limited to providing information, collecting authorized booking details, selecting the appropriate ACME intake route, and assisting with scheduling.
  • No legal advice: ACME is not acting as an attorney. Do not provide legal advice, explain legal consequences, or draft legal documents on ACME's behalf.
  • No notarial-act selection: Do not choose an acknowledgment, jurat, or other notarial act for the signer. The signer should obtain instructions from the document recipient or qualified legal counsel when needed.
  • No fabricated facts: Do not invent prices, appointment availability, processing times, government requirements, service areas, or document acceptance rules.
  • No guarantee of acceptance: Do not guarantee that a court, agency, foreign government, consulate, embassy, employer, licensing board, or other recipient will accept a document.
  • No government-time guarantees: Apostille, authentication, legalization, background-check, and government processing times may change and are not guaranteed.
  • Consent: Do not accept terms and conditions or consent to SMS, marketing, recurring communications, document upload, or other disclosures unless the client has specifically authorized that action.
  • Payment: Do not authorize charges or submit payment credentials without the client's explicit authorization for the amount and transaction.
  • Privacy: Collect only information necessary for the booking. Use only official ACME forms for transmitting client information and documents.
  • Sensitive locations: For hospitals, care facilities, jails, detention settings, or unusual signing circumstances, contact ACME when access, identification, witnesses, signer communication, or willingness may affect the appointment.
  • Identity and willingness: Final identity verification, willingness, awareness, and whether a notarization may lawfully proceed are determined by the commissioned notary at the appointment.
  • Document signing: Do not instruct a signer to sign a document in advance when the applicable notarization or receiving instructions require the signature to occur in the notary's presence.

When the AI Should Stop and Contact ACME

Escalate to a human instead of guessing when any of the following applies:

  • The client is unsure whether they need Live Scan or fingerprint cards.
  • The client does not know what type of notarization or certificate is required.
  • Apostille/authentication requirements are unclear or the destination country/process is uncertain.
  • The appointment involves a hospital, hospice, jail, detention facility, restricted facility, or unusual access requirement.
  • The signer may have difficulty communicating directly with the notary or there are concerns about willingness or awareness.
  • A client asks the AI to guarantee acceptance, legal effect, government turnaround, or a result ACME cannot control.
  • The requested appointment is outside the normal service area or does not match any listed booking route.
  • The booking requires a payment or consent action that the client has not expressly authorized.
